NOTE: If we do not receive the deposit in the week prior, your booking may be at risk of release to another party.<\/em><\/strong> The deposit will be returned upon completion of your event and cleaning.<\/li>\r\n<\/ul>\r\n<ul>\r\n<li class=\"_mce_tagged_br\">Allow a minimum of <strong>15 minutes for set-up and 15 minutes for clean-up when booking your event<\/strong>. Any extra time spent in the Espace Commons setting-up or cleaning-up will be billed. Groups using the Espace Commons are responsible for using the space respectfully. The space is to be left clean, tidy, and in good shape. Please use indoor shoes or shoe covers during Covid-19, Snowing\/Raining weather, and any other necessary situation.<\/li>\r\n<\/ul>\r\n<ul>\r\n<li>Please lift all the furniture instead of dragging them on the floor or stairs when moving. Our staffs are happy to help you if you need.<\/li>\r\n<\/ul>\r\n<ul>\r\n<li>Please do not bring candles into the studio without glass\/mental coverings or holders.<\/li>\r\n<\/ul>\r\n<ul>\r\n<li>Surfaces of floors, furniture, and stairs have to be covered when you have a cake smash, butter, wax, oil, water, or any other materials which leave the surface slippery. This will not only cause cleaning problems but also cause a safety problem.<\/li>\r\n<\/ul>\r\n<\/li>\r\n<li>Please email us for written permission and arrangement if you need to open flame, dry ice, sparklers, or smoke machines. But we generally suggest you not to use the above products for safety concerns.<\/li>\r\n<li>Please kindly book at least an additional one hour if you need to use materials hard to clean, such as confetti, fake snow, or feathers. The additional booking time is for cleaning and our staff will help you. But if you do not book the additional time, our staff will charge you at least $100 additional cleaning fee depending on the messy condition when checking the room before you finish your shooting.<\/li>\r\n<li>We will charge the cost of damages starting from $200.00 depending on the extent of the damage, if our staffs find damages to the floor, stairs, furniture, or any other\u00a0<a title=\"studio\" href=\"https:\/\/espacestudio.ca\/properties-in-natural-light-studio\/\" target=\"_self\" rel=\"noopener\" data-ail=\"1053\">studio<\/a>\u00a0equipment during your booking, including but not limited to break furniture leg, damage and leave deep scratches on the surface of furniture, floor, and stairs.<\/li>\r\n<\/ul>\r\n<p>[\/vc_column_text][\/vc_column][\/vc_row][vc_row][vc_column][vc_column_text css=&#8221;&#8221;]<\/p>\r\n<p><strong>WINTER TIME BOOKING<\/strong><\/p>\r\n<p>Requiring guests to bring their own indoor shoes for winter is a common practice in many venues, especially in regions with cold and snowy winters. There are several reasons for this Studio Policy:<\/p>\r\n<ol>\r\n<li>Cleanliness: Winter shoes can be wet, muddy, or slushy, and wearing them indoors can lead to dirty and slippery floors. By asking guests to bring their own indoor shoes, venues can maintain a cleaner and safer environment.<\/li>\r\n<li>Safety: Wet or snowy footwear can create slip hazards inside a venue. Indoor shoes with non-slip soles can help prevent accidents and injuries.<\/li>\r\n<li>Comfort: Winter boots or shoes are often bulkier and less comfortable for extended indoor wear. Providing guests with the option to change into indoor shoes can improve their comfort and overall experience.<\/li>\r\n<li>Preservation of flooring: Snow, salt, and ice from outdoor shoes can damage flooring materials over time. By requiring guests to switch to indoor shoes, venues can protect their investments in flooring and reduce maintenance costs.<\/li>\r\n<li>Hygiene: Wearing outdoor shoes indoors can introduce contaminants from the outside environment. Requiring indoor shoes helps maintain a more hygienic space.<\/li>\r\n<\/ol>\r\n<p>To implement this Studio Policy effectively, venues can ask guests to bring a pair of clean and dry indoor shoes to change into upon arrival. They may also provide storage or designated areas for guests to store their outdoor footwear during their visit. It&#8217;s essential to communicate this studio policy clearly to guests in advance to ensure compliance and a positive experience for all.<\/p>\r\n<p>[\/vc_column_text][vc_column_text css=&#8221;&#8221;]<\/p>\r\n<p><strong>DECEMBER EVENT BOOKING<\/strong><\/p>\r\n<p>Full payment is required for the December event, and Studio Policy cancellations in December will result in forfeiture of the payment:<\/p>\r\n<ol>\r\n<li>Full payment is required for the December event for several important reasons. The December event is a highly anticipated and carefully planned occasion that requires significant financial commitments upfront in order to secure all the necessary resources, services, and arrangements. These include but are not limited to venue reservations, catering services, equipment rentals, and entertainment bookings. In many cases, vendors and service providers require payment in advance or have strict payment deadlines to ensure their availability and commitment to the event.<\/li>\r\n<li>Additionally, collecting full payment in advance helps us accurately forecast and manage the event budget, ensuring that all expenses are covered and that the event runs smoothly. It allows us to make prompt payments to vendors, which helps maintain our reputation and relationships in the industry.<\/li>\r\n<li>Regarding the Studio Policy for cancellations in December, we regretfully have to enforce a forfeiture of the payment due to the substantial financial commitments and costs associated with the event that have been incurred well in advance. Cancellations in December can have a detrimental impact on the event&#8217;s viability, as it may be too late to secure alternative arrangements or fill the reserved spots with other participants or attendees. Pre-wedding shoots often involve shorter durations, different setups, and may not disrupt regular venue activities.
